Who are we?

McKinlay Kidd Limited is the data controller. We provide tailormade holidays to specific destinations. This policy covers how we collect, use, store, transfer and dispose of personal data and your rights to know about this and to check what we do with your data. Our aim is to be transparent and open about our use of your personal data while complying fully with relevant legislation.

What personal information do we collect from you and why?

We ask for personal information about you and those you will be travelling with via forms on our website or when speaking to you on the phone so that we can use our knowledge and expertise to prepare holiday proposals for you, tailored to what you have told us about your requirements. If you choose to buy from us, we then use this information to provide our services. Our legal basis for such processing is contract.

We also use data from your enquiry and any subsequent bookings to keep in touch with you and inform you only about our own products and services which we believe might be of interest to you. We do this from time to time by email, post or telephone where you have provided us with such contact details in the process of negotiating a sale. Our legal basis for this processing is legitimate interest. You may opt-out of such communication by emailing [email protected], by clicking the unsubscribe option on our marketing emails or by contacting us directly.

We use website log files, cookies, digital analytics (Google) and heat mapping software to gather information about how people use our website. However, we do not collect or store your personal information (e.g. your name or address) in our website analytics so cannot personally identify you.  The information collected helps us to improve the performance of the website and to understand which of our products and services are of most interest to potential customers.

What are cookies?

Cookies are text files containing small amounts of information which are downloaded to your device when you visit a website. These cookies are then sent back to the originating website on each visit or to another website that recognises that cookie. Cookies are useful as they allow a website to recognise the device you are using and provide a better website experience. Cookies can help ensure that adverts you see online are more relevant to you and your interests. Cookies in themselves do not identify the individual user, just the computer or mobile device you are using via a randomly-generated identifying tag.

When you use an online or social media platform to interact with McKinlay Kidd, you should check the privacy policy and your privacy settings on the platform itself, such as Google, Facebook or Twitter. We do not share your personal information with social media platforms.

Facebook Pixel Notice

With your permission, our website utilises the Facebook Pixel service of Meta Platforms Inc, 1601 S. California Ave, Palo Alto CA, USA (“Facebook”). This tool allows us to follow the actions of users after they are redirected to our website by clicking on a relevant Facebook advertisement. The data collected from this is used to measure the efficacy of Facebook advertisements for statistical and market research purposes. Using this data also allows us to improve our advertising for a better experience to the users and also retarget with further advertising on Facebook and the use of Custom Audiences. Who might we share your information with?

We never pass on, sell, rent or trade your information to third parties for marketing or any other purposes beyond the specific circumstances outlined here.

In order to make reservations for you and provide services to you, we share relevant information with our business partners and suppliers (eg hotels, guides, transport providers). For example, we will inform hotels about any special dietary requirements which you have notified to us or we will provide your mobile telephone number to a guide so that they can contact you directly to arrange a meeting time and place. We also have legal obligations to provide your name and booking reference to Travel & General and the UK Civil Aviation Authority. Our legal basis for such processing is contract.

We sometimes provide personal contact data to third party data processors and printers for the purposes of data cleaning, analysis, selection and preparation of mailing files, for example when we send holiday information and Christmas cards by post. We provide this data for specific purposes only and instruct the third parties to hold it securely and to destroy it once the job is completed. Our legal basis for such processing is legitimate interest.

We sometimes provide statistics about our customers, sales, traffic patterns and website usage to third parties for regulatory, general business, research and analysis purposes. However, such statistics will include no personally identifying information.

How do we store your information?

Information, including personal data, on enquirers, customers and business partners is held securely within our encrypted booking system. Only current employees of McKinlay Kidd have rights to access the data via a secure log-in. We also hold personal information within an external email broadcast system. McKinlay Kidd directors and marketing personnel have access to this system via a secure login.

Sometimes we need to extract reports containing personal data from our booking system or from the email broadcast system for operational reasons or for analysis purposes. Such reports are password protected if saved electronically and are securely destroyed or deleted once the task has been completed.

How long do we keep information?

We keep enquiry and reservations information, financial information and customer feedback securely within our booking system unless you request us to delete it. If you request that we delete your data, we will action this within one month, unless it relates to financial information which we must legally retain for six years.

We keep personal information within the email broadcast system for the purposes of outbound email marketing communications. We regularly review and update the information we hold within this system. If you unsubscribe at any point, this is recorded within the system in order to make sure that we do not email you again in future unless you choose to opt back in. We act upon unsubscribe requests within one month or sooner.

How can I access the information you hold about me?

Please email [email protected] or write to us at the company address, with the subject “Right of Access Request”. We will respond within one month, providing you with a copy of and description of the data we hold on you and explaining why we hold it.

Changes to this Privacy Notice

From time to time we may make changes to this notice so you may wish to check it whenever you submit personal information to McKinlay Kidd. You can access it via the link at the foot of our website and via enquiry forms.

McKinlay Kidd takes the collection, storage and use of your personal information very seriously. If you have any concerns about this policy or think that our collection or use of information is unfair, misleading or inappropriate, please do not hesitate to contact us.
